Hong Kong Payroll Automation: Evaluating Feishu Workflow and Controls

Find the control gaps in the spreadsheet process

Spreadsheets can perform dynamic calculations, but uncontrolled formulas, copy-and-paste, multiple versions, access and change history may create errors in overtime, leave or MPF data. Sample previous cycles for formula differences, manual adjustments, late inputs and review evidence, and have accountable owners assess any legal or contribution implications.

Do not assume Feishu itself is the payroll calculation engine. Ask the vendor to demonstrate how the current tenant receives attendance, leave, organisation and payroll fields; which calculations occur in Feishu, an external payroll system or a manual step; and how failed, duplicated, late or corrected data is handled.

Run two parallel cycles with representative employees and exceptions. Reconcile hours, leave, contributions, premiums, rounding and net amounts, then record review time, variance, correction time and employee queries. Only results that meet predefined thresholds can support a claim of reduced manual effort.

Turn statutory rules into testable requirements

Payroll owners and qualified advisers should first identify applicable rest-day, overtime, leave, MPF and other rules. Convert them into versioned requirements with effective dates, input fields, exceptions and reviewers. The vendor must show where each rule is configured, who can change it, how changes are approved and when they take effect.

Test consecutive workdays, late clock-ins, overnight shifts, corrected records, missing data and retrospective adjustments. The employer should define expected results before the test, reconcile every output and retain human pause, review and correction paths.

If exceptions are flagged before payday, disputes and close work may fall, but false positives, missed cases, review time and employee challenges must also be recorded. Technical rules do not replace case-specific judgment or legal review.

Calculate return from full cost and evidence

Include licences, integration, migration, configuration, testing, training, parallel running, support and exit costs. Compare cycle time, manual adjustments, variances, employee queries and the time to produce records; do not use a hypothetical customer or avoided penalty as the return guarantee.

Ask the vendor to demonstrate reconciliation across attendance, leave, organisation and payroll sources, and what balances, versions and challenge routes employees can see. A consolidated view may still contain latency or gaps, so test source counts, update time, omissions, duplicates, access and deletion.

If the vendor offers MPF tiers, pro-rated leave or other Hong Kong templates, verify version, source, update ownership, coverage and customisation. Count released hours toward the business case only after parallel testing passes and remaining manual work is acceptable.

Automation still needs accountable controls

In the trial, require a demonstration of payslip versioning, employee access, correction, approval and notification. Confirm what each role can view or change, how a payroll run is locked, how it is reopened after an error and whether every action leaves an exportable record.

For sensitive payroll data, review protection in transit and storage, key and access management, login controls, backup, retention, deletion, incident reporting and subprocessors. Multi-tier approval does not prove every payment is correct; test bypass, delegation, emergency changes and unsigned adjustments.

If the system claims to flag maternity eligibility or other workforce events, request the trigger fields, rule source, false-positive and missed-case handling, and human confirmation. A prompt can create a task; it cannot decide statutory eligibility or guarantee proactive compliance.

Acceptance questions for a Hong Kong payroll workflow

HR, finance, legal, security and business owners should record reconciliation time, manual adjustments, exceptions, variances and evidence-production time for each cycle. State which fields, calculations, approvals and transfers belong to Feishu, an external payroll system, the bank or the MPF process.

The contract should cover rule sources, update frequency, change approval, data location, cross-border transfers, access, retention, deletion, incidents and exit. For data moving between offices, use this cross-border collaboration and data governance framework, while accountable owners and qualified advisers determine actual duties from the facts.

Run parallel tests with de-identified or controlled representative data and set field-variance, net-pay, exception, access, log and fallback thresholds. Repair or stop when any threshold fails; a smooth automation demo is not a reason to remove pre-payroll review.
