Find the Limits in the Current Collaboration Process First
Hong Kong finance and professional-services teams often value response speed. Select a real process delayed by scattered messages, approvals or client updates and record switches, searches, waits, repeated entry and corrections, together with the actual business effect. That evidence is more useful than an invented Central firm or a generic app-switching statistic.
A combination of Microsoft Teams, Microsoft 365, SharePoint, Power Automate and email may be an existing strength or may add handoffs. Map the actual steps, permissions and data paths, then measure switches, waits, errors and client response. The number of tools or tabs alone does not prove that decisions slow down.
Require both vendors to demonstrate interface languages, support hours, update notices, data handling, logs and permissions in the quoted version and identify contractual commitments. The buyer's specialists determine regulatory applicability. Finance and logistics teams should test incidents and peak workflows rather than treat localization, feature count or 'frictionless' work as proof.
How to Compare Onboarding and Automation Workflows
Onboarding on any platform may connect forms, signatures, files, training and account systems. Document which Microsoft or third-party components the current Teams process actually uses and where failures, delays and manual handoffs occur. Power Automate or an external form is not a failure point by definition.
Use the same de-identified new-hire sample in both candidate environments to complete forms, signatures, training, accounts, permissions and a first task. Check owners, versions, data location, failure notices, retries and logs, then compare processing, waiting and correction time. Shared data models or a single workflow require documentation and test evidence.
If a quoted version supports chat triggers or bots, test who can submit and approve, when reminders fire, how status is corrected, whether records export and how people take over after bot failure. IT can compare collaboration tickets, errors and handling time, but should not assume automation necessarily reduces distraction or speeds execution.
Real Cost Savings Beyond Licensing Fees
Use de-identified vendor confirmations to reproduce time-zone and update problems across email, channels and scheduling tools. Test both candidates for time-zone handling, bilingual approval, substitutes, timeouts and notices; measure coordination time, missed updates and misrouting without assuming a feature shortens the process.
Calculate total cost from formal quotes and actual requirements: licence tiers, minimum seats, add-ons, e-signatures, translation, integration, implementation, training, support, currency, maintenance and exit. Either platform may need third-party components or learning time; brand and package structure do not prove which costs less.
For each quoted Lark and Teams version, list chat, documents, calendar, meetings, automation, storage and support, plus required add-ons. Use one onboarding task to measure training, setup, support and completion, and add migration, parallel-operation and exit costs. Budget predictability or efficiency requires stable evidence and complete cost.
How to Control Migration and Disruption Risk
Migrating isn’t about replacing a tool—it’s about redesigning how work flows. Companies that succeed start by mapping pain points: Where do projects stall? How much time do teams waste switching apps? Consider a media firm tracing project delays to fragmented feedback loops between editors, designers, and legal—a scenario to map against your own pain points.
A media team can pilot a low-risk project in which approvals, versions and deadlines remain traceable while a rollback path stays available. Compare cycle time, version corrections, notifications, legal waits and missed deadlines, including any new delay caused by parallel operation or data migration.
Integration can be a foundation only when process, data, permission, failure handling and exit arrangements work together. Measure time, accuracy, decision quality and client effects separately and record migration exceptions. A platform change becomes defensible strategy only when evidence meets the pre-agreed gates.
A Hong Kong Procurement Lens
For Hong Kong CIOs and HR leaders, the comparison covers workflow evidence, data handling, audit needs, interface and support languages, contracts, migration and how a controlled pilot reaches a real team. Each requirement should be tied to the buyer's data and obligations rather than assumed for every firm.
Before committing, ask vendors to demonstrate the exact workflow you care about — onboarding, approvals, or shift handover — with your own sample data. Confirm what is included in the standard plan, what requires an add-on, and what happens to your data if you leave.
Teams evaluating regional deployment options often compare how each platform handles cross-border administration and local support; our Lark vs Feishu comparison for Hong Kong and Macau covers that ground in more detail.
